For Google Workspace or Microsoft 365, and Slack

Approve leave once. Everything else updates itself.

Leavecast takes approved leave from your payroll and puts it everywhere your team looks: a shared team calendar, the person’s own calendar, their Gmail or Outlook auto-reply and their Slack status. Change or cancel the leave in payroll and Leavecast tidies up after it.

Works with Xero Payroll (Australia).

Launching soon. 14-day free trial: nothing is charged until it ends.

How it works

  1. Connect your payroll

Pick your organisation. Leavecast gets read-only access to its employees, leave and Xero users, so it can’t change anything in your payroll.

  2. Connect Google Workspace or Microsoft 365, and Slack if you use it

An admin authorises Leavecast once. Staff are matched to their work accounts by email, and you can fix any that don’t match.

  3. Approve leave as usual

Leavecast checks for new and changed leave every 15 minutes and keeps everything up to date. Need it sooner? Press Sync now.

One approval. Four places updated.

Turn on the ones you want.

Team leave calendar

A shared calendar in Google Calendar or Outlook that everyone in your organisation can see. Requests that aren’t approved yet can show too, marked pending, if you turn that on. Leave types stay private unless you choose to show them, and family and domestic violence leave is never named.

Out of office

A proper out-of-office event on the person’s own calendar. Google Calendar declines new meeting invites while they’re away; Outlook shows them as away.

Email auto-reply

Their Gmail or Outlook auto-reply switches on when their leave starts, with the return date filled in, and off when they’re back. The return date skips weekends, but not public holidays yet. If someone has set their own, Leavecast leaves it alone.

Slack status

“🌴 On leave” replaces their status while they’re away and clears itself when they’re back. Leavecast only ever clears statuses it set.

Why Leavecast

  • Real events, not a feed

Calendar subscriptions can take hours to refresh. Leavecast writes the events directly.

  • Tidies up after itself

Rejected, changed or cancelled leave is updated or removed, and a part day doesn’t trigger an auto-reply.

  • Private by default

The team sees who’s away, not why.

Security and privacy

  • Read-only access to payroll. Leavecast can’t change your payroll data.
  • Keeps only what it needs: names, email addresses, and leave dates, types and hours. No pay rates, tax file numbers or bank details.
  • Connection tokens are encrypted with AES-256-GCM, on top of encryption at rest.
  • Runs on AWS in Sydney.
  • Google Workspace and Microsoft 365 access needs your admin, who authorises Leavecast and signs in to prove the organisation is yours (a Google Workspace super admin, or a Microsoft 365 Global or Privileged Role Administrator). Only active accounts in your directory are touched.
  • Disconnect from inside Leavecast at any time and it removes the upcoming calendar events and auto-replies it created.

Frequently asked questions

What do I need?

Xero Payroll (Australia), and Google Workspace or Microsoft 365. An admin authorises Leavecast once. Slack is optional.

Does it work outside Australia?

Not yet. Leavecast reads leave from Xero Payroll (Australia) only for now.

What does the team calendar show?

Each person’s name and “On leave” for the days they’re away, with the hours for a part day. Requests that aren’t approved yet can show too, marked pending, if you turn that on.

The type of leave stays hidden unless you choose to show it, family and domestic violence leave is never named, and Leavecast never copies the notes people write on a leave request.

What happens when leave changes or is cancelled?

Leavecast checks for changes every 15 minutes. When leave is edited, rejected or cancelled, the calendar events, auto-reply and Slack status are updated or removed to match.

Payroll doesn’t announce deleted leave, so Leavecast catches deletions at its full check every three hours, or straight away when you press Sync now.

Will it overwrite someone’s own auto-reply?

No. If someone has set their own auto-reply in Gmail or Outlook, Leavecast leaves it alone.

Do we need a paid Slack plan?

For Slack status, yes. Slack only lets an admin change other people’s status on paid plans, so a Slack admin connects Leavecast. Everything else works without Slack.

What about part days?

Part days show on the team calendar only. Out of office, auto-replies and Slack status are for full days of approved leave, so nobody gets an auto-reply for a dentist appointment.

A day counts as full from 6 hours of leave. If your team works shorter days, lower that in Settings so part-timers’ leave counts.

What if we stop using Leavecast?

Disconnect your payroll or let your subscription lapse, and Leavecast removes the upcoming team calendar events, out-of-office events, auto-replies and Slack statuses it created. Disconnect Google Workspace or Microsoft 365 and it removes the upcoming events and auto-replies it created there. Past leave stays on the team calendar as history.

After 30 days without a subscription, Leavecast disconnects from your payroll and deletes its copy of the payroll data. Reconnect any time to start again.

Once payroll is disconnected and any subscription has ended, an owner can delete the organisation’s data from Leavecast. The privacy policy lists what goes.
